The Dunning Letters SuiteApp in NetSuite

Dunning in NetSuite is traditionally done through the Dunning Letters SuiteApp. This significantly enhances the collections turnover, contributing to a reduction in days sales outstanding (DSO).     • The use of the Dunning Letters SuiteApp is limited to accounts that have enabled the Multiple Currencies feature.
    • The Custom Statement Form field on the dunning template page lacks the ability to filter transaction forms by type.
    • Both the Dunning Manager field and the Default Dunning Manager fields do not have the capability to filter employees based on their roles.
    • You can only add up to 15 dunning levels to a dunning procedure.
    • There is a maximum file size for generated PDFs which is 5MB. The system will automatically split the attachments into multiple files if it exceeds the limit.
    • Note that the Dunning PDF Printing Queue can only process at most 100 letters at one time. For dunning thru emails, the Dunning Email Sending Queue can only send 100 letters at a time.
    • You can create and update dunning procedures either through the user interface or by importing a CSV file. However, please note that the Dunning Letters SuiteApp does not currently support importing dunning procedures using SOAP web services or SuiteScript.
    • The Dunning Letters SuiteApp does not have the capability to identify bounced email messages. If a customer asks you to resend a dunning letter, you can navigate to the Communication subtab on the customer, invoice, or invoice group record to access the dunning letter and send it again.
    • The Recently Sent/Printed Dunning Letters portlet uses the NetSuite server time for recording the date and time.

Best Practices in NetSuite Dunning

When using the Dunning Letters SuiteApp, be guided by the following recommendations:

    • Due to a limitation that prevents sublists from appearing on dunning forms during the creation of a new record, it is advised to always navigate through the Dunning Setup menu for new dunning records, rather than selecting -New- from dropdown lists or using the plus icon if you’re an Administrator. This applies to several fields including the Dunning Procedure, Dunning Level Rule, Dunning Template, and Dunning Pause Reason on various records. See our NetSuite Dunning Solution 
    • To ensure a smooth dunning process, it is recommended to utilize standard NetSuite fields exclusively when creating saved searches for filtering. The use of fields provided by other SuiteApps may lead to errors if those fields undergo changes or are removed.
    • Having a longer list of segments in the General Preferences can cause errors. It is recommended that the list segments should not be more than 250.
    • NetSuite suggests updating your customer records through the Bulk Update Customer Records page. This setup task should be done once, after assigning dunning procedures to customer and invoice records.
